Duplicates in Artist/Person table

Previous pageReturn to chapter overviewNext page

In version 8, the Artist and Person tables have been merged into one table ("Artist/Person"). All data from both the Artist and Person tables are automatically transferred to the new table when your database is converted the first time you open it in version 8.

Please note that if you have a record the old Person table that includes "extra" data (like images, notes, e-mail address, web link, etc.), and you also have a person in the Artist table with the same name, CATraxx will not merge the two records, but instead add a second record in the new Artist/Person table ("Name2") with the data from old Person table. You will have to manually merge the two records:

1.Activate the Artist/Person lookup view (click "Lookup: Artist/Person" in the view bar, or choose Custom Views->Lookup Artist/Person from the View menu).

  or
2.During the conversion, CATraxx created a log file with the names of the duplicate persons. To open this file, choose Goto Data Folder from the Tools menu, then double-click the "Log Files" folder,

and finally double-click the file named "Convertv7db_[date_time]".

Now you need to locate these persons, transfer any data you want to keep to the "main" record, and then merge the two records.
3.To locate a person in the list, simply type the name in the quick search box on the toolbar, then press Enter.

4.Double-click the record where the Name column ends with "2" to open the data entry window.

5.If you want to keep any of the additional data, copy it to the clipboard, then choose Previous from the List menu (or simply press F6) to go to the "main" record, and paste the data into the appropriate field.

Choose Next from the List menu (or press F7) to move back to the duplicate record.
6.To merge the two records, simply edit the Name field and remove the "2",

then click the OK button.

Click Yes to merge the two records.
7.Repeat steps 3 - 6 for all duplicate persons.
